Guide for a Parent Association: starting the school year without chaos

In September a Parent Association does three things at once: welcoming new families, moving second-hand uniforms and materials, and setting up the year's activities. All three can be done well with very little infrastructure if they're organised from day one.

Structure first, people second

Before inviting anyone, define how the school is organised: what stages it has, how many year groups each one has, and how many classes per year. With those three numbers the whole tree is set up, and from there everything can be targeted precisely: a circular to the whole school, to Primary, or only to Year 3B.

The family list

This is the delicate part and it's worth getting right. The email list is provided by the Parent Association or the school, who legitimately hold it. The practical approach is a spreadsheet with an email column plus columns for stage, year and class. Anyone who arrives with their class already assigned goes straight in; anyone else chooses it the first time.

Two details always get forgotten: a family can have two children in different year groups and needs to see both, and every September the year groups move up, so the structure needs updating once a year.

The uniform swap market

This is the most-used feature and the worst-handled today. A message in a group of a hundred and eighty people lasts two hours. Posted as a listing, with a photo, size, condition and price, it's still there three weeks later and anyone looking for it can find it.

The key is filtering: for uniforms, what matters isn't reaching lots of people, it's reaching the right size and year group.

Activities with proper sign-up

A mini-tournament, a trip or the family party are all organised the same way: it's proposed, a day, time, place and number of places are set, and people sign up. The organiser needs the list of names and, if needed, phone numbers to set up the group. Counting who's coming from a chat is an endless source of mistakes.

What not to try

Don't compete with the school's official platform. Academic circulars, absences and payments to the school already go through there and work fine. The Parent Association's territory is horizontal: family to family. That space is practically empty, and it's where value is added from day one.

Shared calendar

Meetings, trips, days off school and payment dates. Publishing them in a calendar that each family can add to their own avoids half the questions asked all year.
